AI Transparency & Fair Use Notice
At ApplyAssists, we leverage artificial intelligence (AI) to empower your job search. This notice explains how our AI features work, their intended use, inherent limitations, and your critical role in the process. Our goal is to ensure you can use our tools effectively, ethically, and with clear expectations.
1. The AI Behind Our Service
Our core AI functionality is powered by advanced language models from OpenAI or Gemeni. We send specific data from your profile to these models via secure API connections to generate, format, and tailor your job application documents.
2. How We Use Your Data with AI
To create your tailored CVs and cover letters, our system constructs detailed prompts using the specific data you provide. The following sections of your profile are sent to the AI model for processing:
- Your Professional Summary
- Your Work Experience entries
- Your Education history
- Your Skills and certifications
This data, combined with the target job description you provide, allows the AI to generate relevant content suggestions, improve phrasing for readability and ATS compliance, and match your experience to job requirements.
3. The Role of AI: Your Assistant, Not Your Author
Our AI is a powerful creative and editorial assistant.
It is designed to:
- Suggest improvements to phrasing and structure.
- Help highlight relevant keywords from a job description.
- Generate draft content based on your inputs.
- Propose different formatting styles.
It is NOT designed to:
- Know personal details about you that you have not provided.
- Access real-time or future information (its knowledge is based on data up to its last training date).
- Make subjective judgments about your career.
- Guarantee job interviews or offers.
4. Understanding AI Limitations & Your Responsibility
a) Potential for Inaccuracies:
Like all AI, our tools can occasionally generate incorrect, outdated, or misleading information. They can also “hallucinate” details (such as specific skills, dates, or company names) that were not in your original input.
b) Lack of Human Context:
The AI does not understand your personal career narrative, non-verbal achievements, or industry-specific nuances in the same way a human career coach would.
c) Embedded Biases:
AI models are trained on vast datasets that may contain societal biases. These could inadvertently be reflected in language suggestions (e.g., gendered wording). We actively work to mitigate this through prompt engineering, but cannot eliminate the risk entirely.
Your Ultimate Responsibility
You are the final editor and sole author of your application materials.
5. Fair & Intended Use
Our AI tools are provided to help you create professional, truthful job application documents. You agree not to use our Service to:
- Create fraudulent, deceptive, or plagiarized content.
- Impersonate another person or falsify qualifications, education, or work experience.
- Generate harassing, discriminatory, defamatory, or otherwise harmful content.
- Automate the creation of applications in violation of a website’s terms (e.g., spamming employers).
Violation of these fair use principles may result in immediate termination of your account.
6. Data Privacy & Security
Your data is processed in accordance with our Privacy Policy. Data sent to OpenAI or Gemeni is governed by their data processing terms. We do not use your data or generated documents to train or improve third-party AI models. For users of our “Bring Your Own Key” (BYOK) feature, your data is sent to OpenAI or Gemeni under your own account agreement.
7. Updates & Feedback
AI technology evolves rapidly. We may update the models we use or our prompting techniques to improve service quality. Significant changes that affect functionality will be communicated via our standard update channels.
By using the AI features within ApplyAssists, you acknowledge that you have read this notice, understand the capabilities and limitations of our tools, and accept your role as the responsible author of your job application materials.
